Re-use pages and questions as duplicates, Learning Objects as duplicates or shared content with synchronize updates across all Project uses

dominKnow | ONE makes it easy to copy Pages, Question pages and Learning Objects from one Project into another.

You start by opening the project you want to add the copied content into, then use the Copy processes's search feature to find the content you want to add in.  

Pages and Question Pages can be duplicated from one Project into another. In this case, a new copy of the Page is added into your target Project, like making a photocopy. The two Pages are not connected or synchronized for changes.

Learning Objects can be copied into a Project as a duplicate, a photocopy that is not connected to the original. Or they can be added as Shared Learning Objects, in which case the Learning Object is re-used in the target project. Any changes to the LO (add a new page, fix a typo, change an image) will automatically be seen in all Projects where the LO is being shared.

Accessing the Find Content to Reuse panel

dominKnow | ONE has a content search function available as part of several workflows to help you find content created in other projects to include in your current Project.

Ribbon Off

If you are working with the Ribbon off, you can search for content directly using the Search option (1).

Selecting either New Page or New Question (2) also provides access to searching for content.

 

Ribbon On

If you are working with the Ribbon off, you can search for content directly from the Home tab, selecting Copy >> Copy From A Project (1).

Selecting either New Page or New Question (2) also provides access to searching for content.

 

If you've selected New Page or New Question, on their respective panels the first two options also open the content search feature.

 

Searching for Content

The Find Content to Reuse panel allows you to Search across all Projects or to Browse to a specific Project.

Select either Search or Browse Projects in the upper left corner to begin. 

Selecting Browse opens a panel that lets you navigate to find the Project you are looking for. 

If you select Search, the Search panel will open.

To the left of the Search field you can choose from:

  • Pages
  • Questions
  • Learning Objects 

Next simply type in words that you wish to search for.

The search feature will search against:

  • All text on a page
  • The title, description and keywords for the page
  • The title, description and keywords for assets on a page
  • The transcript of the page

The Search will not include any content in the current Project you are working on.

The Search will only return results for Claro or Flow content based on the current project you are working in.

The Advanced Filters help you target the search.

For example, you can target specific Categories or Collections, or who created the content if you know the original author.

 

Once the search is completed, the results will be shown in the left column of the Find Content to Reuse panel.

You can select a result and see a preview in the center pane of the panel.

If you have searched for Learning Objects, you can preview all pages plus test questions and the See Sharing/Reuse link will show you all the Projects where the LO is currently being used (shared).

Selecting Insert will add the LO, Page or Question to your current Project.

Learning Objects can be Shared or Duplicated into the current Project:

  • Share means the LO will inherit updates any time changes are made in any Project where it is shared
  • Duplicate creates a copy of the LO that is not connected to the original LO. The Duplicated LO can be edited without its changes affecting any uses of the original LO.

Pages and Questions can only be added as a copy (duplicated). 

Content Searching and Author Permissions

If you are an Author, by default you will only be able to search against Projects which you have created or Projects which you have been assigned permision to work on.

Administrators have the ability to make any Project searchable for all Authors.

An Admin can select the Is Searchable checkbox on the Project Properties panel, which allows the Project's content to be searchable even if an Author has not been assigned editing permission to the Project. (Authors can not select this option. If an Author creates a Project which should be searchable for everyone then an Admin user will have to edit the Project Properties.)

If the Author has not been assigned editing permission to the Project they are only able to Duplicate any LOs found using the Content Search. They can not Share the LOs into their current Project unless they have been assigned to edit the originating Project.
